Access Will Documents & Information

Learn how to view, download, and manage the will documents you're responsible for as an Authorised Representative.

Viewing Will Documents

Once you've accepted your invitation and your status is Active, you can access the Will Owner's documents from your Responsibilities dashboard.

How to Access Documents:

  1. Go to Dashboard → Responsibilities
  2. Find the Will Owner whose documents you need to access
  3. Click the "View Will Documents" button
  4. You'll see a list of all registered will document locations

What You'll See

The document view includes:

  • Will Title - Name/identifier for the will
  • Description/Location - Details about the will and where it's stored
  • Last Updated - When the will was last modified
  • Attached Files - PDFs, images, and supporting documents (up to 5 files per will)

Important Note

You can only access documents when the Will Owner's status is Deceased or when they've explicitly granted you access. This ensures privacy and security of sensitive information.

Downloading Documents

As an Authorised Representative, you have the ability to download will documents and supporting files for execution purposes.

How to Download Files:

  1. Navigate to the Will Owner's documents page
  2. Locate the file you need in the Attached Documents section
  3. Click the Download button next to the file
  4. The file will be saved to your device's download folder

File Types Supported

You can download various file types including:

  • • PDF documents (.pdf)
  • • Image files (.jpg, .jpeg, .png)
  • • Word documents (.doc, .docx)
  • • Other supporting documents

Responsible Use

Downloaded documents contain sensitive personal and legal information. Handle them with care, store them securely, and only use them for their intended purpose of executing the Will Owner's wishes.

Tracking Document Updates

The International Will Registry tracks when documents are updated, helping you stay informed about any changes to the will or supporting files.

Last Updated Timestamp

Each will registration displays a "Last Updated" timestamp showing when:

  • • The will registration was last modified
  • • New files were uploaded or existing files replaced
  • • Description or location information was changed

Why This Matters:

  • Stay Informed - Know when the Will Owner makes changes
  • Version Control - Ensure you're working with the most current documents
  • Execution Accuracy - Use the latest version when fulfilling your duties

Coordinating with Other Representatives

If a Will Owner has designated multiple Authorised Representatives, you may need to coordinate your efforts to ensure the will is executed properly.

Multiple Representatives

When there are multiple representatives, you'll see:

  • • Who else has been designated as a representative
  • • Their acceptance status (Active or Pending)
  • • Contact information for coordination purposes

Best Practices:

  1. Communicate regularly with other representatives to coordinate actions
  2. Establish clear roles if the will doesn't specify them
  3. Keep records of decisions and actions taken
  4. Work together to honor the Will Owner's wishes

When the Will Owner is Deceased

If the Will Owner passes away, Emergency Contacts will notify you through the platform. At this point, your role becomes active for executing the will.

Deceased Status

When a Will Owner is marked as deceased:

  • • You'll see a Deceased badge on their profile
  • • You can access all will documents and supporting files
  • • You should begin the process of executing the will according to its terms
  • • You may receive email notifications about your responsibilities

Your Next Steps:

  1. Download all will documents and supporting files
  2. Review the will carefully and understand all terms and beneficiaries
  3. Consult with legal counsel if needed
  4. Begin the probate process or execute the will according to local laws
  5. Coordinate with other representatives if applicable

Security & Privacy

The International Will Registry takes security seriously. All documents are protected with industry-standard encryption and access controls.

Data Protection

All documents are encrypted at rest and in transit using industry-standard protocols. Access is logged and monitored for security purposes.

Your Responsibility

You're responsible for maintaining the confidentiality of downloaded documents and using them only for their intended purpose.

Access Logs

For security and transparency, all document access (viewing and downloading) is logged. This helps ensure accountability and protects the Will Owner's information.
