When Should You Notify Representatives?

As an Emergency Contact, you play a critical role in alerting Authorised Representatives when something happens to the Will Owner. Understanding when to notify is essential.

Situations Requiring Notification

Notify representatives when:

  • The Will Owner has passed away - Most critical notification
  • Medical emergency - Serious illness or hospitalization
  • Incapacitation - Unable to make decisions or communicate
  • Missing or unreachable - Cannot be contacted for extended period
  • Any situation requiring representatives' action - As specified by Will Owner

When NOT to Notify

Don't notify representatives for routine matters, minor illnesses, temporary travel, or situations the Will Owner is handling themselves. Save notifications for genuine emergencies.

Accessing the Emergency Details Page

The Emergency Details page is where you'll find all the information you need about the Will Owner's Authorised Representatives and how to notify them.

How to Access:

  1. Log in to your account at The International Will Registry
  2. Navigate to Dashboard → Responsibilities
  3. Find the Will Owner for whom you're an Emergency Contact
  4. Click the "Emergency Details" button

What You'll See on This Page

The Emergency Details page shows:

  • • Will Owner's basic profile information
  • • Your relationship to them
  • • List of all Authorised Representatives
  • • Representatives' names and contact information
  • "Notify Representatives" button for sending alerts

Reviewing Authorised Representatives

Before sending a notification, review the list of Authorised Representatives to understand who will receive your alert.

Representative Information

For each representative, you'll see:

  • • Full name
  • • Status: Active (can be notified) or Pending (invitation not yet accepted)
  • • Email address (for reference)

Important Note

Only representatives with Active status will receive notifications. Representatives with Pending status have not yet accepted their invitation and will not be notified.

Sending the Notification

When you're ready to notify representatives about an emergency or the Will Owner's passing, use the notification button to send an alert to all active representatives.

Step-by-Step Process:

  1. On the Emergency Details page, locate the "Notify Representatives" button
  2. Click the button to open the notification confirmation dialog
  3. Review the list of representatives who will be notified
  4. Confirm that you want to send the notification by clicking "Notify All Representatives"
  5. Wait for the confirmation message that notifications were sent successfully

What Happens When You Notify

After clicking the notification button:

  • • All Active representatives receive an email notification
  • • The email explains that you (the Emergency Contact) have notified them
  • • Representatives are instructed to log in and access will documents
  • • They receive information about their immediate responsibilities
  • • You receive a confirmation that the notification was sent

After Sending the Notification

Once you've notified representatives, your primary notification duty is complete. However, there are a few things to keep in mind.

What Happens Next

Representatives will:

  • • Receive email notifications about the situation
  • • Log in to access will documents and information
  • • Begin the process of executing the will (if deceased)
  • • Take necessary actions based on their responsibilities

Your Ongoing Role

After notifying representatives, you may be asked to:

  • • Provide additional information if needed
  • • Answer questions about the circumstances
  • • Assist with coordinating communication (if comfortable doing so)
  • • Be available for follow-up questions

Remember Your Boundaries

As an Emergency Contact, your role is to notify representatives, not to manage the will execution process. You don't have access to will documents and are not responsible for executing the will. That's the representatives' job.

What If There Are No Active Representatives?

In some cases, you may find that the Will Owner has no Active representatives, only Pending invitations that haven't been accepted.

No Active Representatives

If no representatives are active:

  • • You cannot send notifications through the platform (no one would receive them)
  • • Contact any known family members or friends directly if possible
  • • Consider contacting The International Will Registry support for guidance
  • • In case of death, you may need to inform authorities or legal counsel directly

Prevention is Key

This situation emphasizes why it's important for Will Owners to ensure their designated representatives accept invitations promptly. If you notice pending invitations, you might gently remind the Will Owner to follow up with those individuals.

✓ Stay Informed About the Will Owner's Situation

Maintain regular contact with the Will Owner so you're aware of their health status and can act quickly if needed.

✓ Keep Your Contact Information Current

Regularly update your phone, email, and address so you can be reached quickly in emergencies.

✓ Familiarize Yourself with the Emergency Details Page

Log in periodically to review the representatives list and ensure you know how to send notifications when needed.

✓ Act Promptly But Thoughtfully

When an emergency occurs, notify representatives as soon as possible, but make sure the situation genuinely requires their attention.

✓ Document Your Actions

Keep a record of when you sent notifications and any follow-up communications. This can be helpful for reference later.
